Client Retention System for Marketing Agencies

Know who’s leaving,before they do.

Halix watches your clients through your CRM, ad accounts, billing and inbox — scores each one’s churn risk against their own baseline, and drafts the retention work before you knew it was needed.

AI shouldn’t send anything your clients can see.

Every agency owner has seen it: the AI report with a number that doesn’t exist, the “personalized” check-in that opens with the wrong name, the tool that quietly messaged a paying client something you’d never have approved. One wrong number in a client report costs more trust than a year of good ones buys.

So we drew a line.

Everything that reaches a client stays yours.

Your name is on it. Halix drafts; you decide.

  • The approval
  • The phone call
  • The relationship
  • The send button

Everything behind it gets a system.

None of this needs your judgment until something’s found — it needs to run every morning without you thinking about it.

  • Watching every signal
  • Scoring churn risk
  • Catching silence early
  • Drafting the reports
  • Checking every number
  • Spotting upsell openings
  • The morning digest

Under the hood the same line holds: the AI drafts and explains, but it never computes a score, never picks a price, and never decides what sends. Health scores come from stored data you can audit — zero model calls. Prices come from your rate card. And when data goes missing, the system reports uncertainty instead of pretending things are fine.

That’s the whole philosophy. Retention is a trust business — a system that guesses in front of your clients isn’t automation, it’s liability.

From connected to covered

  1. Connect

Plug in your CRM, ad accounts, billing and Slack — read-only to start. Halix builds each client's baseline from their own history, so "normal" means their normal, not an industry average.

  2. Watch

Every morning at six, every client is scored across 20 signals — silence, results, engagement, payment behaviour. Your digest arrives at eight with the clients who need you and why.

e.g. a client goes quiet for 12 days: their score drops, the digest flags it, and a retention plan is drafted — call, don't email, and hold this week's report until you've spoken.

  3. Act

Approve the drafted reports, take the flagged calls, send the upsell proposals worth sending. Everything waits for you — nothing reaches a client on its own.

What Halix does all day

Three jobs a great client-success manager would do — running every day, for every client on your roster, without adding headcount.

  • Client Health Scoring

    The core

Twenty signals across relationship, results, engagement and billing — scored daily against each client's own baseline. In testing, 6 of 6 seeded churn scenarios were caught at least 14 days before the churn.

  • Retention Playbooks

Every score comes with prescribed next steps: who to call, what to hold, what to bring. A quiet client gets "call, don't email" — not another automated check-in.

  • Weekly & Monthly Reports

    Every number checked

Drafted in plain language with a glossary your clients actually read. Every number is checked against the source data before you ever see the draft.

  • Upsell Detection

Nine triggers — budget ceilings, sustained ROAS, what the client asked for on a call. Only ever raised for healthy clients, priced from your rate card, drafted as a proposal.

  • The Morning Digest

Arrives in Slack at 8am with the clients who need attention and why. The dashboard is there when you want depth — the digest means you never have to remember to look.

Running an agency and wondering if this fits your stack? — bring your roster to the call.

Built in the open, by people you actually know

Halix is run by Marco Hope and Joshua Ali — computer and electrical engineering students at York University. Joshua leads the scoring and drafting engine doing the heavy lifting; Marco leads the product your team actually touches. But nothing ships until we’ve both worked through every piece of it, end to end.

You’re not buying from an anonymous software vendor. We build in the open — you see progress at every stage, weekly updates included, and you always know exactly who’s working on your system.

Straight answer on pricing

Halix is priced by roster size: up to 20 clients at $1,900 USD a month, 21–35 clients at $3,325 USD, and 36–60 clients at $5,700 USD. Founding pilot agencies lock their rate. You’ll have a firm number in writing before we connect a single account.

FAQ

The fine print, up front.

Something we didn’t cover? Ask us directly at hello@halixsolutions.com — or bring it to the call.

What happens on the call?

Thirty minutes, no pitch. We walk your current roster and how you find out a client is unhappy today — usually the honest answer is “when they tell us,” and by then it’s late.

If a pilot makes sense for your agency, you get a firm price and timeline in writing before anything connects.

Will AI message my clients?

No. Nothing sends by default. Every client-facing draft — reports, check-ins, proposals — waits for your approval, and the system can only ever make a message more supervised, never less.

At launch, everything runs in draft-only mode until you decide otherwise.

What do you need access to?

Your CRM, ad accounts, Stripe and Slack — read-only to start. Scores are built from your own data against each client’s own baseline, and when a connection breaks, the system tells you instead of guessing.

What does the monthly price cover?

The full system running daily for every client on your roster: health scoring, retention playbooks, drafted reports, upsell detection, the morning digest, plus monitoring and direct support during the pilot. Your tier only moves when your roster size does.

How are payments handled — and can I cancel?

Stripe invoices, by card or bank transfer, billed monthly. Cancel with a note to hello@halixsolutions.com at least seven days before renewal, and it won’t renew. There’s no long-term contract, and your data stays available for export for 30 days after the engagement ends.

Who owns the data?

Your client data — everything Halix ingests, scores, and reports on — is yours, full stop. Call transcripts are purged on a retention window; the extracted insights stay.

The scoring engine and the tooling behind it stay ours. You’re never locked in: cancel and export, any time.
